Run the work that happens beyond the office.
Human-services organizations manage complex work across clients, staff, locations, contracts, requirements and systems. Phibian gives teams a common operational foundation for understanding what is happening across that environment.
The operating environment
Accountability in several directions at once.
Human-services organizations answer to funders, regulators, partner agencies and the people they serve — often under different reporting requirements, using systems that were each chosen to satisfy one of them.
The result is an operation that is genuinely well-intentioned and structurally hard to see. Staff work across a service area. Programs have their own requirements. Contracts have their own definitions of what counts. The information needed to run the week exists — it is simply distributed across systems that were never designed to agree with each other about today.
Phibian does not try to replace those systems. It provides the operational layer between them: who is working, what was planned, what actually happened, what needs attention, and what evidence supports each of those answers. When a funder asks a question months later, the answer is retrieved rather than reconstructed.
What teams get
Six practical changes.
Each links to the capability that delivers it, so you can check the claim rather than take it on faith.
Coordinate distributed staff
One directory, one schedule and one set of assignments across programs, sites and contracts — instead of a coordination layer that lives in one person’s head.
Understand service activity
What was planned, what was observed, and where the two stopped matching — visible while the day is still running rather than at period close.
Surface operational exceptions
Missing clock-outs, unmatched activity, coverage gaps and unsubmitted timesheets arrive ranked, with the evidence that produced them attached.
Connect compliance to the work
Evidence is created by the operation itself rather than assembled afterwards, and corrections supersede originals so diligence stays demonstrable.
Reduce fragmentation between field and administration
Administrators stop asking staff to re-report what another system already knows, because the operational record is continuous across the boundary.
Support multi-organization structure
People who work across affiliated organizations hold membership in each, with switching resolved server-side rather than as a cosmetic filter.
Scoped, not blanket
Program directors see their part of the operation.
Permissions in Phibian can be scoped to a program or a location, so giving somebody the visibility they need does not mean handing them the whole organization. Sensitive actions — revealing a client’s full name, viewing raw location history — are distinct permissions, and using them is recorded.

What Phibian is not
Not a system of record. Not a surveillance product.
Being clear about the boundary is part of being useful inside it.
Not an EHR or case-management record
Phibian does not hold the service or clinical record. Your system of record keeps that job; Phibian coordinates the operation around it.
Not a payroll processor
Phibian is the time-of-record and produces approved, snapshotted output. Your payroll system stays the money-of-record.
Not a monitoring tool
Operational evidence exists for human review. Automated signals are never presented as proof of wrongdoing, and workers can see and correct their own record.
